Wholesale Assistant

UMENCO is currently seeking a Wholesale Assistant for a contemporary womenswear brand who embrace the philosophy of ‘less is more’.

The Wholesale Assistant will support the smooth execution of the wholesale operations. This role is essential in maintaining the efficiency of the brands global wholesale business, ensuring accurate order management, timely communication with retail partners and seamless coordination of all wholesale systems and assets. The Wholesale Assistant will play a pivotal role in supporting the operational backbone of the business across multiple regions and partners.

In this role, the Wholesale Assistant will manage order processing and tracking, collaborating with the wholesale agency and internal teams to receive and enter orders via JOOR. The successful talent will ensure consistency across Indigo8 (the brands Inventory Management System) and other platforms, manage updates or cancellations and coordinate with the Wholesale Logistics Coordinator to guarantee timely delivery to major and boutique retail partners globally. Additionally, the Wholesale Assistant will support sample management, handling distribution, tracking and organisation of product samples to agencies, showrooms and clients, ensuring they are maintained and available for key seasonal launches and ad hoc requests.

The Wholesale Assistant will also act as a key point of contact for the brands retail partner, providing professional, proactive responses regarding orders, product information and delivery timelines. This involves liaising with internal teams – including sales, production, logistics and finance – to resolve issues efficiently. The successful talent will also oversee imagery and asset coordination, ensuring seasonal lookbooks, product images and descriptions are accurately uploaded and maintained across JOOR and vendor portals, reflecting each collection correctly.

This role requires strong data management and reporting skills, including maintaining accurate records of wholesale orders and partner communications, assisting with weekly and seasonal sales reports and supporting process improvements initiatives led by the Wholesale Operations Manager. Additional responsibilities include processing returns and credit notes efficiently. The ideal talent will have at least one year of experience in wholesale operations or administration, proficiency with JOOR and Indigo8, strong Excel and GSuite skills, exceptional organisational abilities and a passion for premium-quality fashion products and the wholesale industry.
