Role Overview
UMENCO is currently recruiting a Wholesale Operations Coordinator for a contemporary RTW brand who design considered, high quality and sustainably sourced wardrobe essentials.
The Wholesale Operations Coordinator is tasked with supporting the sales team through the management of operational functions, ensuring seamless communication between wholesale customers, accounts, the warehouse and other internal departments. This role is primarily focused on maintaining accurate sales data, coordinating orders, tracking inventory and ensuring timely order fulfilment to optimise sales operations. Key responsibilities include processing and managing wholesale orders, communicating updates to customers, monitoring backorders and assisting with order documentation and customer reports. Additionally, the coordinator supports the tracking and reconciliation of sales data.
The roles also involves maintaining and distributing stock reports, tracking seasonal stock availability and assisting with inventory accuracy. The Wholesale Operations Coordinator generates sales reports to aid decision-making and supports and sales team with data entry and system updates. On the customer-facing side, the coordinator is responsible for responding to wholesale inquiries, addressing issues and maintaining accurate customer records. The successful talent will also include managing return authorisations, supporting credit processing in coordinating with the accounts warehouse teams.
Operationally, the Wholesale Operations Coordinator will assist with sample management, ensuring styles are properly documented and tracked. The successful talent will support showroom setup during sales campaigns and collaborate closely with the warehouse team to ensure smooth dispatch and stock movements. The roles also includes maintaining NuOrder and other sales platforms with accurate product and order information. In terms of technology, the coordinator ensures accurate product uploads and order tracking within sales portals and supports process improvements to enhance sales team efficiency
The successful talent is required to have strong organisational and time management skills, excellent communication and problem-solving abilities, proficiency in Microsoft Office and sales order management systems. A minimum of 2-3 years of experience in a sales coordinator or administrative role is preferred. The Wholesale Operations Coordinator will report directly to the General Manager of Sales & Marketing, communicate regularly with the Director of Sustainability & Supply Chain and work closely with the accounts team, sales manager and the design & development team to ensure collaboration and alignment across all functions.
